7.45 Volunteer Services
The Richland Community Library Volunteer Program is designed to expand and enhance public service to the community. Volunteers generally provide support services to paid staff, or work on special projects. Administration of Volunteer Services is at the discretion of the Library Director, who is responsible for ensuring that all staff, paid and unpaid, aid the library in achieving its goals and objectives as directed by the Board of Directors.
Selection of Volunteers
Selection of in-house volunteers is the responsibility of the Director or a Volunteer Coordinator. Prospective volunteers are requested to fill out an application form. Volunteers who are under the age of seventeen must have signed parent/legal guardian permission to volunteer their services. Volunteers are selected based on their qualifications in relation to the needs of the library at any given time. If there are no suitable volunteer opportunities, application forms will be kept on file for a period of one year. Applicants will be called if a project is identified which matches their interests or qualifications.
The Director or a Volunteer Coordinator will schedule volunteer activities, taking into account the library’s needs and each volunteer’s capabilities and wishes. Every volunteer will report to a supervisor who will provide them with the day-to-day guidance of their work. Volunteers are expected to perform their assigned duties to the best of their abilities and to be loyal to the mission, values, goals and policies of the Library. All volunteers should keep their supervisor informed of their projects and work status, and of their comings and goings in the library. Volunteers shall keep an accurate record of the hours they work each week, for the use of the Director.
Volunteers may not make purchases with library funds without prior authorization from the Library Director. The Library does not compensate volunteers for time spent or expense incurred, except by prior arrangement with the Library Director.
All transactions between library users and staff or volunteers are strictly confidential. Michigan Public Act 455 of 1982, the Library Privacy Act (MCL 397.601 – 397.606) stipulates that public library circulation and registration records are confidential. Even law enforcement representatives must secure a court order before patron information is released. Volunteers are required to uphold this policy.
Termination of Volunteer Services
Volunteers should notify their supervisor two weeks in advance of ending their volunteer commitment. Volunteers are expected to act in accordance with library policies and to reflect positive customer service attitudes to all library patrons. Volunteers who fail to meet the requirements of their assigned volunteer duties, or who violate library polices will be dismissed after appropriate warning is given.
